Route Accounting allows reps to sell and invoice from their own van, and also allows distributors to define multiple warehouses and select which warehouse will provide the inventory for each Transaction Type.
You can now categorize your Accounts by type and then define which types are sources of inventory and which are destinations of the inventory. For example, when creating a Sales Order Transaction where items are sold out of a van, define the source of inventory as type “Van” and the destination type “Customer”. Or if you are creating an End of Day Transaction, where you are moving your leftover inventory from your van to a warehouse, define the source of the inventory as type “Van” and the destination type “Warehouse”.
Upload your Account types using separate CSV files grouped by your type names, and then you can include only the relevant Account Types in the Account Lists displayed for each user profile.
Account Type examples: Customers (default), Stores, Distributors, Wholesale customers, Van Sales Accounts, Warehouse Accounts
To define the Account types, load a csv file for each one:
API_Account_ Warehouse _Distributor_xxxxx.csv
(where xxxxx represents your distributor ID, as in uploading any data file to Pepperi)
The user creating the various Transaction Types needs to be assigned to all the Account Types that he is working with as sources and destinations. Account-User assignments are made in the same way – within the csv file in the SalesRepID field.
Detailed format and instructions for uploading Account csv files can be found here: Upload data to Pepperi via FTP using csv files
If you are working with the default type only - Customer, then you can upload the usual Accounts file (via Excel or CSV API_Account_Distributor_xxxxx.csv) and all the Accounts will be associated with the type “Customer”.
Set up of Van Sales/Route Accounting requiring the new Account Types feature is available to Pepperi Ultimate customers. Please contact us if you are interested in activating this feature.
For details on creating Account Types see this article: Account Types.
Account Types are assigned to appear in Account Lists. Account Lists will be displayed for users by profile in the Pepperi app.
For example, a rep selling out of their van will need to access Van Accounts as well as Stores and Warehouses. A merchandizer may need access to Stores only.
For details on creating Account Lists see this article: Account Lists
To set up Van Sales where the user is selling/moving inventory between a source (van/warehouse) to a destination (store/van):
- Load the relevant Account Types
- Configure the “Accounts” tab in the Transaction Type – define a source and/or destination
- Configure actions to decrease inventory from the source and increase at the destination
The functionality for this setup is limited to Pepperi Ultimate users. To activate this on your account please contact us.
An example is provided below:
Edit the Transaction Type -> Accounts Tab
To Account: defines which Account types are destinations of inventory.
From: defines which Account types are sources of inventory. Master Warehouse means the inventory is taken from the main distributor inventory of the item.
For example, for a Van Sales Transaction Type selling inventory from a van to a store, define To Account as Account Type “Customer” and From as type “Van”. If you don’t define a type for From, then the source inventory will be taken from the main Distributor Inventory field value of the item (not the count in a specific store or van) called “Master Warehouse”.
Now in the Workflows tab you may add actions that update the source inventory - the item’s stock count in the van, and the destination inventory - the item’s stock count in the store.
Add only the actions you require. You may be interested in keeping track of van inventory, and not in the store’s stock count or vice versa.
Updating the Source Inventory:
In the Workflows tab add an “Update Inventory” action. This will deduct the inventory of the items ordered from the van.
Select UnitsQuantity and click Save.
Updating the destination Inventory:
In the Transaction Type Workflows tab add an “Update Account Stock” action. This will add the inventory of the items ordered to the Account stock.
Mark “This field value will be added to the Account stock”, so that the Units quantity ordered will be added to the store’s stock count.
Once you have added those actions and defined the restrictions in the Accounts tab - when items are sold from the van, the Account Inventory of the “Customer” will be increased and the Account Inventory of the “Van” will be decreased by the same amount.
In the Transaction Type -> Views and Forms -> Order Center Views:
- Small Thumbnails View
- Medium Thumbnails View
- 1 Item Portrait View
- 1 Item Landscape View
- Variants Portrait View
- Variants Landscape View
- Lines View
- Additional field for Matrix Views
- Flat Matrix Grid View
- Flat Matrix Lines View
- Gridline View
- Barcode View
- Item Information Page Portrait
- Item Information Page Landscape
- Order Center Barcode Grid View
- Order Center Barcode Line View
The Order Center now slides down (not to the side) and the fields can be moved around and stretched within the Small and Medium thumbnail views. For example, you can configure the Item name to display fully if it is long, and it will not be cut off, or position the product hints, image, or any other field wherever you wish within the item's box.
To use the new Order Center View configuration capability contact us and we will enable it for you.
This new configuration per Transaction Type contains “Special Data Control” fields that are now available to position in the layout of the relevant view:
- Product hints – the color indicators for Items (special offers, inventory, special price list)
- Menu – the 3-dot menu allowing access to the full item detail information page
- Product Hints & Campaign – the red star indicating the item campaign information
- Item has active Campaign - indicator if item has active campaign or not
- Item Images – a button accessing the additional item images
- Item Filmstrip Images – the additional images of an item displayed in a filmstrip style view, small previews across the bottom and as you tap each enlarges on top.
These fields have always been available in the Order Center View, however their position was pre-configured. They are now available for you to position in the relevant Order Center view layout as you wish.
Search the Order Center by all Item fields, line-item fields, properties, and custom fields using the Smart Search filtering. The new Order Center allows you to search by all Line-item fields such as: quantities, prices after discounts, etc. right inside the Order Center, without having to switch to the cart mid-order.
You can now open the matrix view for a variant straight from the cart, and order different variants of a style without having to go back in to the catalog. Tap on the matrix line-item in the cart and select Open Matrix. The item’s matrix view will open allowing you to modify or add quantities of any variants.
Create custom fields designed to support phone numbers with country codes and area codes. The field is a numerical field that can initiate calls on your mobile device.
