Smart Search allows filtering of items in the Order Center and of Accounts in the various Account Views.
Users can filter the Items or Accounts based on configurable fields as described below.
Sales Reps don't have to rely only on Filters created by the admin to filter the catalog.
Items can be searched by custom fields, or any other field such as Last Purchase quantity, Last Purchase date etc.
Accounts can be searched by any field, such as Properties, last planned activity (for those using Activity Planning module), any custom field, etc.
Next Activity/Last Activity
Accounts also can be searched by the date of the last or next Activity on this Account, if you are using the Route and Activity Planning to schedule activities.
Examples:
- Search for Accounts with a property of medium or large account size that have not had a planned activity in the past 3 months.
- Search for small sized Accounts that have their next planned activity within the next 2 weeks. (For more details on planned Activities see: Activity Planning)
Access the Smart Search by tapping on the filter icon at the top of the Account or Order Center view:
Smart Search settings allow you to customize the order in which the filters appear, as well as their title.
To access the Smart Search settings for Items:
Configure Smart Search by Transaction Type. Edit the Transaction Type, go to the Views tab and open the Search -> Smart Search. Edit the Smart Search for the relevant Pepperi profile.
Items Smart Search configuration
All available fields you have mapped for your items will appear on the left. Users will be able to search by the fields added to the layout.
Values in the smart search options appear sorted alphabetically (A-Z), as strings not integers. Even if the values are numerical they will be sorted by the order of the digits, and not in numerical order.
For example, numerical values of: 1123, 121, 10200, 11044
Will be sorted as follows: 10200, 11044, 1123, 121
To access the Smart Search settings for Accounts:
Settings -> Accounts -> Smart Search
Account Smart Search Configuration:
All available properties, attributes or any custom fields you may have created will appear on the Available fields on the left. Including address fields such as city and state, zip code etc. .
Add from the available fields to the Smart Search Layout and sort the order in which you want the smart search boxes to appear in the app from left to right.
You can also rename the box titles by clicking on the edit (pencil) icon next to the property name in the Smart Search Layout.
Smart Search – multi choice selection
Smart Search for Accounts and Items can return results for search criteria that have more than one value per field. This allows you to receive the accurate results when selecting more than one option in the smart search box.
Example:
Each of your customers sells products from different departments. The “Department” field you are searching by has one or more of the values: Children, Women, Men, Babies, Teens
Customer A: Children, Women
Customer B: Children
Customer C: Men, Teens, Women
Customer D: Babies, Teens
A Smart Search that selects Children and Women will return Customers A, B, C
A Smart Search that selects Men and Women will return Customers A, C
And so forth. . .
The logical operator between the values selected for each Smart Search field is “OR”
The logical operator between the Smart Search fields is “AND”
How to configure multiple values per field for Accounts
To be able to load more than one value per field, you need to:
- Create an Accounts custom field type “Multi Choice”
- Add the Custom Field to the Account Smart Search layout
- Load values to the field in the Accounts data (either by ERP integration or upload)
Create a custom field type “Multi Choice”
Go to Accounts -> Fields and Add a Custom Field:
Field Name: The label for this field
Field API Name: Auto-filled (with TSA hard coded prefix)
Field Mapped Name: enter the heading that will be used when loading values to the field from ERP integration files.
Values: Enter a list of all possible values for the field.
Add the Custom Field to the Account Smart Search layout
Settings -> Accounts -> Smart Search
Edit the form of the Rep/Admin or other profile that will conduct the Smart Search to include the custom field you created.
Load values to the Multi Choice field in the Accounts data
In your Accounts file, the column heading for the field is the “Field API Name” and the values are separated by the internal delimiter. In many cases, it will be a semi-colon.
Delimiter – Use the internal delimiter defined in Settings -> ERP Integration -> Configuration.
Sync your Pepperi app on your mobile device and you will be able to select multiple values for each Smart Search box defined as a Multi Choice, and get the correct results.
How to configure multiple values per field for Items
The multi choice selection for Items Smart Search is configured very similarly to Accounts.
- Create an Item custom field type “Multi Choice”
- Add the Custom Field to the Transaction Smart Search layout
- Load values to the Item field in your Item data (ERP integration or file upload)
