Use this option if you have multiple locations or branches for an Account, for example an office for billing purposes, and multiple stores for shipping purposes.
If you do not require this option use these instructions instead: Upload Accounts without chain stores / branches
The uploading process is comprised of 2 main steps:
Step 1: create an Excel file.
Every row in the Excel file represents an Account or customer. The columns contain different properties and information for each Account.
The names and order of the columns is not critical. You can map your headers to Pepperi fields using a simple mapping tool as described below.
To make things quick and easy It is recommended you download a template Excel file and add your Account information to that template.
You can get a template in one of two ways:
1. Export your existing Accounts excel file in your Pepperi Account (even a trial account) - click on Accounts in the Pepperi Web Admin, click the Import button and then the export icon:
2. Download the Accounts Sample File attached to this article.
Once you downloaded the sample file you can insert your data while maintaining the column structure.
For a detailed description of all the fields and more aspects of the import process refer to this article which contains the list of Account fields and their meanings: Explanation of Account fields.
Points to Remember:
- The mandatory headers are Name and Account ID (must be unique)
- The file must be saved as an Excel workbook (xls, xlsx).
- Must not contain formulas, images, or currencies
The multiple Account locations or Branches will be linked to the parent by its Account ID (or ERP code if you are importing from your ERP system).
Upload a typical Accounts Excel file as you normally would to upload all your accounts with an additional column called "Parent". Once your file is ready continue to Step 2.
For accounts that are multiple locations or branches of another account put the Account ID of their parent account in this column.
For example if an Account with ID 123 is the parent, with multiple locations with codes 444,555 and 666 the file will look like this:
Parent | Account ID | Name | Address | City | etc. . . . |
123 | Parent Store | 123 Cedar Road | New York
123 | 564897 | LOP Branch | 1533 Orange Grove Road | New York
123 | 897564 | EDT Branch | 6452 Smith Road | New York
123 | 645312 | FRT Branch | 345 Cherry Lane | New York |
The multiple locations will appear as follows in the Accounts view on the Manager :
Go To Setup Accounts, Select an Account and click Edit.
At the bottom of the Account form click edit next to the Locations field.
On the Pepperi app you can see these multiple locations by tapping on the "i" that brings you to the Account information view, and tapping on the "Locations" :
If you have loaded multiple locations for an account, when submitting an order for this account, the sales rep will be asked to select a location to be displayed on the order PDF in the "More Order Details" section of the cart:
Step 2: Map your Excel column headings to the Pepperi fields.
On the Pepperi Manager Go To Accounts -> Import/Export TabIn the Import/Export Tab click on the import icon and browse to your file.
If you already have Accounts in the system, you will be brought directly to the advanced mapping screen in our Wizard.
If you imported a file with the same column heading names as you have previously uploaded, Pepperi will remember your mapping and display it to you for review.
Review every field's mapping; review those fields that are already marked in blue as mapped and select a mapping for those that are not by selecting from the pull down menu.
If you need help selecting the correct field from the pull down menu refer to the meanings of the fields here: Explanation of the Account fields.
Click Finish and after a few minutes your Accounts will be uploaded and you'll be directed to the listing of Accounts in the import/export tab.
Please note that the headings you had in your excel file will serve as the names of the properties in Pepperi where property names are referenced.
Also, the names of the headers in your Excel file will be the column headings used in the Import/Export tab of Accounts in Pepperi Web Admin.
Once your file is mapped click Next Step -> Load Structure
You can also upload a list of contacts for each of your accounts in bulk. See the article: How To Upload Contacts to Accounts
