Assign different functionality, workflows, and form layout in Pepperi to groups of users. For example, a Sales Rep profile for taking orders, a Merchandiser profile that only performs stocktaking and visit reports, and a web app telesales user that only takes orders in the office via inbound phone calls.
Profiles give the admin the option to control the data and the functionality exposed to each individual user.
You may create as many profiles as you require.
For example:
- Manager profile can edit pricing on orders, while Rep profile can not.
- Rep profile can view an "Abandoned Carts" report for all their customers, while Buyers of those customers can not view such a report.
- Stock on hand is displayed in the catalog for Reps, but not for Buyers
- Merchandisers cannot carry out Sales Orders, only returns, surveys, and stocktaking activities.
Profiles are different than Roles. Roles allow managers of multiple users to view their data and activity. Role hierarchy in Pepperi allows hierarchical display of activity and data to managers or other users who have users positioned below them in the role hierarchy (Roles are not related to configuration and views, as opposed to Profiles which are). You can easily set up the Role Hierarchy in the Pepperi Back office. For details see: Setting up Role Hierarchy in your Organization
Pepperi standard profiles:
Admin - can view all data, user activity and modify configuration in the Pepperi back office
Sales Rep - assigned to Accounts, can view only their Accounts' data and activity, can not modify configuration. If "sharing data between Sales Reps assigned to the same Accounts" (a setting per each activity type) is enabled, the Sales Rep may see activity carried out by other Sales Reps on their shared Accounts.
Buyer (for B2B commerce storefront only) - The buyer profile is a contact at an Account. Buyers can view data, catalogs and pricing assigned to their Account only.
You can also assign different types of Buyer Profiles on the Pepperi B2B eCommerce Storefront. Essentially this allows you to create multiple storefronts catering to different types of buyers such as : small stores, chains, distributors vs. retailers, etc. For details on Buyer Profiles see: Buyer Profiles.
Profiles are available on the Pepperi Ultimate Plan. If you are not on the Ultimate Plan please contact us for more information on obtaining this feature.
You can also use the Profiles function to display fields about items and customers in different languages to specific groups of users. For details on implementing this see: Using Profiles to display information in the catalog in different languages per rep
This article will explain how to create a Profile, associate it with users and configure views and forms for the profile.
Create a Profile:
Go to Settings -> Users - > Profiles
Click + Profile
Give the Profile a descriptive name.
Select the profile that it is based on.
The “Rep” Profile is the default Profile present in the system. All Profiles created are based on the Rep Profile unless you select otherwise.
In the case that form and view configurations are not found for a specific profile, then they will be taken from its parent profile.
The Profile will appear in the list:
Associate users with the profile:
Go to Settings -> Users -> Manage Users
Edit a user and select a Profile for that user. The user will now see all the views, forms, activities, dashboards and more that have been configured for that profile.
Next, configure Views and Forms for the Profile:
You may configure any one of the forms and views for a particular Profile.
Go to the configuration screen for the form or view you wish to configure for a Profile.
Click on the menu in the configuration screen and select “Add new Profile”
Select the profile you want to configure a specific form for and click OK.
A form will be added with that Profile’s name. Edit the form as you would any Pepperi configuration form.
Example:
If you would like the Sales Rep profile users to be allowed to edit order prices on the shopping cart, but not Merchandisers, then add a configuration form for the Merchandiser Profile and select “read only” for the unit price field for that profile, while leaving it un-selected on the Sales Rep form.
