The various status transitions in your Transaction, Activity, or Account Workflows may be configured by profile, allowing certain profiles to move to a certain status, while blocking others.
A few examples:
- Sales reps may submit an order, while only managers can approve them
- Managers only may edit submitted orders, and then re-submit them
- Reps may submit a quote, but only the buyer can approve it and submit it as an order
- Only senior reps can fill out certain pages of a store-audit form. These pages can be blocked from junior reps using Alternative Activity Forms and the Workflows as shown below.
These permissions are determined in the Workflows profile table view.
First configure your Workflow using the Workflow Designer
To view this go to the Workflow tab of the Transaction/Activity/Account
For example, in a Transaction: Go to Settings -> Sales Activities -> Transaction Types
Edit the Transaction Type you wish to set the profile permissions for
Go to the Workflows tab
Click on "Table
The Table View shows the transitions each profile is able to execute in the Workflow.
Edit the form for each profile (add Profiles from the left menu).
Click the trash icon to remove the permission for a transition from a profile, and click + to restore the permission.
When a transition is removed from a profile, this means that the button for that transition will not appear on the Cart for Transactions, on the Activity form for Activities, or on the Account information form for Accounts.
